These Terms and Conditions ("Terms") govern every booking made through OrbitStayVacation.com, WhatsApp, or any other official channel operated by OrbitStay Vacation ("we", "us", "our"). By submitting a booking request or making a payment, you ("guest", "you") agree to be bound by these Terms in full.
1. Nature of Service
OrbitStay Vacation acts as a curator and booking facilitator for a selection of privately owned villas across East Java. We coordinate reservations, payments, and guest communication on behalf of villa owners/operators. Villa descriptions, photos, and pricing are provided in good faith but may be subject to change without prior notice due to circumstances beyond our control.
2. Booking & Confirmation
A booking request is not confirmed until (a) our team verifies availability for the requested dates, and (b) full payment is received and confirmed by our team. Verbal or written interest expressed via WhatsApp, this website, or any other channel does not constitute a confirmed reservation until both conditions above are met.
3. Payment
Full payment of the total booking amount is required to confirm a reservation, unless a different payment arrangement is explicitly agreed in writing by our team. We accept bank transfer, e-wallet, and QRIS. Prices are quoted in Indonesian Rupiah (IDR) and, unless stated otherwise, are inclusive of applicable taxes and service charges.
4. Non-Refundable Policy
All bookings made through OrbitStay Vacation are strictly non-refundable once payment has been confirmed. This applies regardless of the reason for cancellation, including but not limited to change of plans, illness, weather conditions, travel restrictions, or force majeure events, except where required otherwise by applicable Indonesian consumer protection law. 5. Rescheduling
Requests to reschedule a confirmed stay to different dates may be accommodated at our sole discretion, subject to villa availability and possibly an administrative fee. Rescheduling is never guaranteed and must be requested as early as possible before the original check-in date. A non-refundable booking that is not successfully rescheduled remains non-refundable.
6. Guest Conduct & Villa Use
Guests agree to: (a) not exceed the maximum guest capacity stated for the booked villa; (b) treat the villa, its furnishings, and surrounding property with reasonable care; (c) comply with any house rules communicated by the villa caretaker or our team; and (d) be liable for the cost of repairing or replacing any property that is damaged, lost, or destroyed during the stay beyond normal wear and tear.
7. Check-in, Check-out & No-Show
Standard check-in and check-out times will be communicated at the time of booking confirmation and may vary by villa. Guests must inform us promptly of any expected delay. A booking with no notice of delay and no check-in by the agreed date is treated as a no-show, and the full booking amount is forfeited as non-refundable in accordance with Section 4.
8. Liability
OrbitStay Vacation facilitates bookings between guests and independent villa owners/operators. To the maximum extent permitted by law, we are not liable for personal injury, loss, theft, or damage to personal belongings occurring during a guest's stay, except where such loss or damage arises directly from our own negligence in the booking or facilitation process.
9. Changes to These Terms
We may update these Terms from time to time to reflect changes in our operations or applicable law. The version published on this page at the time of your booking confirmation governs that booking.
